We have immediate openings for the following positions: Office Administrator

OFFICE ADMINISTRATOR

We’re seeking a proactive, detail-oriented Office Administrator to join our team in Bozeman, Montana. This is an in-person position that provides essential administrative support to help our landscape architecture studio operate efficiently and professionally.

In this role, you’ll work closely with our Studio Manager and Principals to support day-to-day operations.  Responsibilities include coordinating administrative tasks, assisting with bookkeeping, managing office logistics, and supporting proposal development.  We’re looking for someone who is highly organized, self-motivated, detail-oriented, and able to thrive in a collaborative, fast-paced environment.

key Responsibilities:

Office Administration

  • Coordinate schedules, travel, and internal communication

  • Assist Studio Manager with bookkeeping, data entry, and research

  • Procure office supplies and manage software subscriptions

  • Coordinate IT setup for new staff

Operations & Events

  • Support general office organization and cleanliness

  • Help plan internal events and seasonal initiatives (e.g., holidays, client gifts)

  • Perform additional administrative and operational duties as assigned

Communications

  • Maintain mailing lists and branded office materials

  • Track RFQ/RFP opportunities and support proposal development

  • Assist with creation of project sheets, presentations, and more

  • Assist with coordination of project photography and manage digital image library

  • Assist with posting social media content (Instagram, Facebook, LinkedIn)

What You’ll Bring

  • Experience in office administration or related role

  • Excellent organizational, written, and verbal communication skills, with a proactive, can-do attitude

  • Proficiency in Adobe Creative Suite and Microsoft Office

  • Familiarity with social media platforms such as Instagram and LinkedIn

  • A self-motivated, adaptable approach and a willingness to learn new skills

  • Experience with Deltek Ajera is a plus

Hours

  • 30 - 40 hrs/wk

  • We are open to considering a part-time schedule for the right candidate, based on experience and qualifications, with a minimum commitment of 30 hours per week

Compensation

  • Starting Hourly Rate: $24 - $28/hr
